Executive Position Descriptions
Topham Park Minor Softball League is a 100% volunteer organization.
Volunteer involvement is essential in the continued operation and success of our League. Keeping costs as low as possible and with no paid persons or positions can only be achieved with your help.

The following positions are open for nominations every year. These positions must be filled in order for the executive to run the league.
President
- oversees the operation of the league
- chairs executive meetings
- resolves conflicts or issues that have not been resolved at the convenor and/or VP level
- applies for permits and insurance
Vice President - House League
- assists the president in the operation of the league
- assists in resolving conflicts or issues that have not been resolved at the convenor level
- orders trophies
Vice President - Select
- responsible for Select Committee and Program
- coordinates team selections, practices, payments, and entry into tournaments
Secretary
- records the minutes of the executive meetings
- distributes minutes to executive
Treasurer
- keeps financial records for the league
- responsible for all monies coming in and out of the league
Registrar
- responsible for all player registrations
- processes all electronic registrations and payments
- manages player database
Umpire in Chief
- responsible for all matters relating to umpiring
- schedules and trains all umpires, and resolves umpiring conflicts
- responsible for onfield safety of players, volunteers and parents and equipment
Deputy Umpire in Chief
- assists the Umpire in Chief with matters relating to umpiring
Head Convenor
- responsible for all matters relating to team rosters, schedules, trades and rules
- oversees Division Convenors
- preparing the coaches packages and leading the coaches meetings
- gathering rankings at the end of each season
- recommend rule changes
Division Convenors
- responsible for matters relating to specific divisions
- report to the Head Convenor
- set team rosters at beginning of season
- distribute handouts, uniforms and photos (at the end of the season) to the team coaches
- handle the distribution of the division practice bags
- trade players as necessary
- prepare ratings at end of season
- coordinates call-ups as needed
- attend as many games as possible. co-convening assists with this
Groundskeeping and Equipment Convenor
- responsible for the maintainance of the diamonds and for all equipment
- coordinates groundskeepers schedule
- orders and maintains all equipment for all divisions
Assistant Groundskeeping Convenor
- assists the Groundskeeping and Equipment Convenor
- assists in coordinating groundskeepers schedule
Fundraising Convenor
- responsible for fund raising activies throughout the season, primilary the 50/50 draws
- coordinates fundraising schedule
Scorekeeper Convenor
- responsible for maintaining and posting all game scores and standings
- coordinates scorekeepers for every game
Sponsor Convenor
- responsible for advertising for, and coordinating sponsors for teams
- distributes sponsor jerseys and photos at end of season
Uniform Convenor
- responsible for ordering and distribution of uniforms for all teams and coaches
Snackbar Convenor
- responsible for all matters relating to the snack bar
- purchases all food for the snack bar
- organizes the staffing schedule
- coordinates the Saturday barbecue
Photo Convenor
- responsible for booking photographer, and coordinating photo schedules
- orders plaques for all sponsors
Clinic Convenor
- responsible for organizing and running Player development clinics
Website Convenor
- Responsible for designing and maintaining the league website.
